Job Overview:

H&F Electrical Contractors Ltd is seeking a highly organised and motivated Office Administrator to ensure the smooth running of our office. This role is key to supporting the management team and ensuring day-to-day office functions are carried out efficiently. The ideal candidate will be detail-oriented, have excellent communication skills, and be proficient in a variety of office software tools.

Key Responsibilities:

Office Management:

Manage the daily operations of the office, including answering phones, managing emails, and greeting visitors.

Ensure the office is well-organised, stocked with supplies, and maintained in a tidy manner.

Schedule meetings, appointments, and assist in organising company events.

Administrative Support:

Assist management with administrative tasks such as preparing reports, creating presentations, and organising documents.

Maintain and update company records, ensuring all files are organised and easily accessible.

Handle correspondence, filing, and maintain office systems.

Financial and HR Duties:

Assist with basic bookkeeping tasks such as invoicing, expense tracking, and payroll support.

Manage employee records, timesheets, and assist with onboarding new staff members.

Project Coordination:

Support the project management team by maintaining schedules, tracking project progress, and communicating with clients as required.

Print, organise, and distribute construction drawings, schematics, and related project documentation to relevant teams.

Ensure project documentation is completed accurately and on time.

Client Communication:

Act as a first point of contact for customers and clients, handling enquiries and providing general information about services.

Follow up with clients regarding requests and quotations.

Qualifications:

Proven experience as an Office Administrator would be advantageous

Strong knowledge of office procedures and basic bookkeeping principles.

Proficiency in MS Office (Word, Excel, Outlook) and other relevant software (e.g., accounting or project management tools).

Experience with printing and managing large-format construction drawings and schematics.

Excellent communication skills, both written and verbal.

Strong organisational and time-management abilities.

Attention to detail and problem-solving skills.

Ability to work independently and as part of a team.

Preferred:

Experience in the construction or electrical contracting industry.

Basic understanding of health and safety regulations in an office environment.
