We are currently looking for a motivated and driven Facility Assistant (m/f) under a permanent contract.

SUMMARY

The Facility Assistant will work in the corporate department and report to the Facility & Admin Manager. The

Facility Assistant will take care of the event organisation and be in charge of the fleet. (S)he will develop the

concierge services and assist the Facility & Admin Manager in different facility projects. The Facility Assistant

will support and back up the reception team and take part of the Happiness activities and occupational well-

being.

MISSIONS OF THE ROLE

 Manage all internal and external LuxTrust event organization and follow up with reception team support

 Manage and optimize the LuxTrust fleet from A to Z

 Develop and maintain the concierge services

 Follow up of Facility suppliers and contracts in place

 Support and back up of reception team and need to knowing the reception procedures

 Greeting clients and partners

 Management of incoming and outgoing emails

 Basic reconciliation tasks

 Contribute to the follow up and support of all the building and furniture technical maintenances

 Contribute to the follow up and support of space planning and change planning projects

 Contribute to the follow up and management of the archives rooms

 Contribute to the follow up and management of the storage rooms

 Performing various administrative tasks

 Handling of various statistics

 Various data base maintenance (ERP systems)

 Maintain the meeting rooms tidy and ready for use with reception team

 Treat employees as if they were your customers

 Carrying out small handywork

 Able to manage minor removal work

 Assisting and helping the Happiness Committee in their tasks

 Willingness to travel in LuxTrust premises abroad

 On-call rotations: this involves being part of a rotation system to provide 24/7 support for critical topics,

ensuring the immediate resolution of a problem, irrespective of the time it occurs.

 Other tasks as assigned

REQUIRED SKILLS

 Qualifications / diploma(s): High school diploma or related experience

 Technical Competencies: Full proficiency in MS Office (Excel, PowerPoint, Word)

 Languages: French and English fluent. Luxembourgish and/or German are strong assets.
