We are seeking a proactive, organised, and adaptable Administrative Assistant to support our dynamic and growing team of 30 staff. The ideal candidate will have strong communication skills, a friendly and professional attitude, and the ability to manage multiple tasks efficiently in a fast-paced environment. You’ll thrive in a role that requires attention to detail, initiative, and the ability to liaise effectively with both internal and external stakeholders.

What you will do
As an Administrative Assistant, you will play a key role in supporting the smooth running of our office operations. You will report directly to the Office Manager and assist with a variety of administrative tasks that help keep the office environment organised and efficient.
Front-of-House Duties: Welcome visitors to the office, provide a positive first impression, and ensure a professional office environment.
Call Management: Answer, screen and direct phone calls, as well as manage messages effectively.
Post and Deliveries: Collect and distribute incoming post, office deliveries and arrange pick-ups for couriers.
Boardroom and Meeting Support: Maintain the boardroom schedule and assist in setting up meeting rooms, ensuring supplies such as tea, coffee, and refreshments are arranged.
Office Inventory: Keep track of office supplies (e.g. stationery, toiletries, consumables such as teas/coffees/milk, cleaning products, etc) and manage orders to ensure adequate stock levels.
Document Management: Assist with binding, photocopying, scanning, and filing as needed.
Event and Meeting Support: Help organise events, meetings, and workshops, including managing RSVP lists, creating invitations, and assisting with preparation.
Travel Arrangements: Research and book staff travel arrangements, including flights and accommodation.
Employee Engagement: Respond to staff queries and support the Employee Wellbeing Programme.
General Administrative Support: Assist with various administrative tasks as required as part of the HR and Administration team, including creating quotations, managing office orders, processing invoices.
